AI invoice coding: how it works and where it goes wrong

Invoice coding is deciding which account, project, department or branch each line belongs to. AI can suggest the code from the vendor, the description and your history, but the suggestion is only useful if you can see why.

What good coding looks like

  • Suggestions based on your own past coding, not generic guesses
  • Visible, editable rules for recurring vendors
  • A confidence level so reviewers know where to look
  • Special handling for tax, freight and shipping

Where it goes wrong

  • Vendors who bill many different things
  • Generic descriptions like Supplies or Services
  • Charges that should follow the code of the item they relate to

Frequently asked questions

Does AI coding learn from corrections?

It should. When a reviewer fixes a code, that correction becomes a rule so the next invoice is right.
